Two ways to work with Gridwolf
Gridwolf pricing comes in two shapes: monthly retainers when you want ongoing automation work, and project pricing when you need a fixed-scope build. Both are quoted to your business — no per-user fees, no lock-in contracts, no surprise overage bills. Pick the model that matches how you want to work and we'll send a written quote within 48 hours.

Three retainer tiers, scoped to fit
Pick the tier that matches your build cadence. Pricing for each is quoted to scope after the free call — we don't post a number here because the right number for a sole trader is wildly different from the right number for a 30-person agency.
Starter
For sole operators and small teams who need one or two automations running quietly in the background.
Best for
Sole traders and 1–3 person teams
Cadence
Fortnightly check-ins
Capacity
1 active project at a time
- Build and maintain 1 active automation
- Fortnightly Loom or call check-in
- Ad-hoc fixes and small workflow improvements
- Email support inside business hours
- Quarterly review of what's working / what's worth retiring
Growth
For growing businesses building out a stack of automations and integrating multiple tools.
Best for
5–20 person teams
Cadence
Weekly working sessions
Capacity
2–3 active projects at a time
- Build and maintain 2–3 concurrent automations
- Weekly call + shared backlog
- Integration management across your toolset (Xero, simPRO, ServiceM8, HubSpot, Airtable, custom APIs)
- Same-business-day support inside hours
- Monthly performance review against KPIs you actually care about
Scale
For teams running automation as a core capability — multiple stakeholders, multiple workflows, real engineering capacity required.
Best for
20+ person teams or automation-heavy operations
Cadence
Multiple touchpoints per week
Capacity
Dedicated build hours, full-stack engineering
- Dedicated weekly build hours, sprint cadence if you want it
- Multiple touchpoints per week — Slack, calls, async
- Full-stack engineering capacity (frontend, backend, AI, infra)
- Priority support with same-hour response inside business hours
- Roadmap planning and architecture review every quarter
Fixed scope. Fixed price. No surprises.
Project pricing is the right fit when you have one specific automation in mind and don't want to commit to an ongoing engagement. We scope it, quote it, build it, and hand it over. Most projects ship a working V1 inside 4 weeks.
Quotes are written, itemised, and binding — what we quote is what you pay. Half up front, half on delivery. If the scope changes mid-build (it sometimes does), we re-scope and re-quote before doing the extra work, so you're never surprised.

- Internal admin agent that drafts reports, reconciles data, surfaces anomalies
- Custom industry-specific dashboard pulling from your real systems
- One-off integration between two tools that don't talk to each other
- Brand-new product MVP — happy to scope from a Loom, not just a brief
What you never pay extra for
Plenty of automation and SaaS providers run a base fee that quietly doubles once the “optional” line items show up. Gridwolf doesn't. The list below is part of every retainer and every project, full stop.
- Per-user fees — same price for 1 or 50 team members
- Setup or onboarding fees
- Data migration charges
- Training and handover
- Support inside business hours
- Lock-in contracts or exit fees
Why this matters
Most Australian SMBs have been burned by per-user SaaS fees, undisclosed setup costs, or migration charges that show up after signing. The fastest way to lose a customer's trust is a surprise invoice. So we don't send those.
What you see on the quote is what you pay. If the scope changes, we re-quote before the work starts. If the engagement isn't working, retainers cancel with 30 days notice and projects are walk-away after delivery. Your business shouldn't be locked into software it isn't getting value from.
From first call to a working V1 in about four weeks
Free 30-minute scoping call
We learn your business, the workflow you want automated, and what success looks like. No pitch deck, no pressure. If we're not the right fit we'll tell you on the call.
Written scope and quote in 48 hours
You get a one-pager covering exactly what we'll build, the tools we'll use, the milestones, and the price. Retainer or project pricing — your choice. No commitment until you accept.
Build, ship, iterate
We build into your existing stack and demo as we go. Most projects ship a working V1 inside 4 weeks. Retainers continue from there — no auto-renew, 30-day cancel-any-time.
Which model fits your situation?
| Pick a retainer when | Pick a project when |
|---|---|
| You have multiple workflows to automate over time | You have one specific automation in mind |
| Your business is changing and the automations will need to evolve with it | The scope is well-defined and unlikely to change much |
| You want someone on standby to extend, fix, and improve things as you grow | You want a one-off build with no ongoing commitment |
| Predictable monthly cost is more important than a one-time figure | Predictable total project cost is more important than ongoing cadence |
Pricing questions, answered
How is Gridwolf pricing different from the per-user SaaS model?
Most business software bills you per user, per feature, or per seat. The bill grows with your headcount even when your usage doesn't. Gridwolf retainers and project pricing are quoted to scope — the work, not the headcount. Hire ten more installers tomorrow and your Gridwolf bill stays the same.
Why are there no dollar figures on this page?
Because honest pricing for custom automation depends on what you're actually trying to automate. A QuoteWolf-style quoting flow for a sole-trader sparkie costs a fraction of a full lead-gen pipeline for a 50-person agency. Posting one-size-fits-all numbers would either underprice the bigger jobs or scare off the smaller ones. We send a real quote in 48 hours after a free call — no obligation.
Is there a minimum retainer term?
No minimum term and no lock-in. Retainers are month-to-month with 30 days notice to cancel. Project pricing is one-and-done — pay for the build, walk away with a working automation, decide later if you want a retainer for ongoing maintenance.
Should I pick a retainer or a project?
Pick a project if you have a single clearly-defined automation in mind and don't need ongoing build capacity. Pick a retainer if you have multiple workflows you want to automate over time, or you want someone on standby to fix and extend things as your business changes. Most clients start with a project, then move onto a retainer when they realise how much else can be automated.
Do you work with non-trades businesses?
Yes. Gridwolf's SEO content currently leans heavily on solar and roofing because that's where we built the first content layer, but the actual automation work covers Australian SMBs broadly — bookkeepers, agencies, real estate, allied health, e-commerce, you name it. If your business has repetitive admin, we can probably automate it.
What if I just want to use one of the products you're building (ContentWolf, QuoteWolf, etc.)?
Those products are SaaS subscriptions when they ship. ContentWolf is in private beta now — pricing for the productised tier will be set before public launch. The other roadmap products aren't out yet. If you need the capability sooner, we can build a custom version on a project or retainer basis today, and you'll get first access to the productised release later.
